Web agency or freelancer: how to choose your digital provider

Digital agency or freelancer for your web project? Strengths, limits, budget and practical criteria for choosing the right provider, with a comparison table.

Web agency or freelancer: it is often the first decision to make when starting a digital project, before any talk of design or technology. Both options work, but not for the same projects. Here is how to choose the right provider for yours, without relying on the quote alone.

What a freelancer brings

A freelancer is an independent professional, usually specialised in one discipline: development, design, SEO or advertising.

Strengths:

  • a single point of contact, who does the work personally;
  • fast turnaround on small projects;
  • an often lower rate, because there is no structure to finance.

Limits:

  • one speciality: a good developer is not necessarily a good designer or SEO specialist;
  • fragile availability: holidays, illness or overload, and your project stops;
  • uncertain long-term support: if they change activity, you need to find someone to take over their work.

A freelancer is an excellent choice for a specific, well-defined need: a page to create, a feature to add, a one-off assignment.

What a digital agency brings

An agency brings several disciplines under one roof: strategy, design, development, SEO, advertising, content.

Strengths:

  • all skills coordinated, without you having to manage several providers;
  • continuity: if one person is away, the project still moves forward;
  • a method: scoping, approval, testing, launch, follow-up;
  • long-term support: maintenance, upgrades, acquisition.

Limits:

  • a generally higher budget than a freelancer for equivalent work;
  • sometimes several intermediaries between you and the person doing the work;
  • longer start-up times in large organisations.

An agency is the right fit as soon as the project involves several disciplines, or matters to your business.

Agency or freelancer: the comparison

Criterion Freelancer Digital agency
Skills One speciality Several coordinated disciplines
Contact One person, who does the work A project manager, with a team behind
Continuity if someone is away The project stops The project continues
Budget Often lower Often higher
Suitable projects One-off, well-defined need Complete or strategic project
Support after launch Variable Usually planned

Six questions to ask yourself

Rather than comparing two quotes, start from your project:

  1. How many disciplines are needed? A website that has to look good, load fast, rank well and be fed by advertising needs at least four.
  2. What happens if the project runs late? If the launch date is critical, continuity matters more than price.
  3. Do you have time to manage it? Coordinating three freelancers is a job in itself.
  4. Who will look after the site in a year? Updates, security, new pages: plan for it now.
  5. What is at stake for your business? A site that must generate your quote requests is not handled like a simple online business card.
  6. What budget can you really commit? A reduced scope done well beats an ambitious project left half finished.

How to check a provider is reliable

Agency or freelancer, the same checks apply:

  • verifiable work: live websites you can visit, not just mock-ups;
  • genuine client reviews, for example on their Google Business Profile;
  • an itemised quote, not a single overall price;
  • ownership: the site, the domain name and the logins must be in your name;
  • the number of revision rounds included and what happens after launch;
  • questions about your business: a good provider tries to understand your goals before talking about technology.

Be wary of guaranteed results, very low prices tied to a compulsory subscription, and providers who ask no questions.

The third way: the small agency

Between the lone freelancer and the large agency, there is a middle format: the human-sized agency. You keep a single point of contact and the responsiveness of an independent, with a team behind to cover every discipline and ensure continuity.

This is the model we chose at KPS Agency: a dedicated project manager from start to finish, a team covering websites, applications, SEO and advertising, and a scope adjusted to your budget.

In practice

The right provider is neither the cheapest nor the biggest: it is the one whose organisation matches your project. A one-off need goes to a freelancer; a project your business depends on calls for a team.

Tell us about your project: we will say frankly whether it needs an agency, and send you a free, itemised quote within 48 hours. You can also browse our work or read our guide to the cost of a business website.
